Chamber Group Registration & Program Policies

Chamber Group Registration & Trial Process

After chamber groups are matched, each group will be registered for the full term:

• Fall Term: 14 weeks one-hour coaching sessions
• Spring Term: 18 weeks one-hour coaching sessions

Full payment for the term is required upon registration. The first two weeks of coaching sessions will serve as a trial period, during which the group will work with their coach to establish a shared understanding of their goals and learning process.

Exceptions may be considered if the group has communicated with the coach in advance regarding a different number and/or duration of coaching sessions.

After completion of the two-session coaching trial period, all registration fees become non-refundable.

If a chamber group has remaining coaching sessions at the end of the term, these sessions will be carried over to the following term:

• Fall Term → Spring Term
• Spring Term → Summer Term

For chamber groups that begin in the middle of a term, the total number of sessions will be prorated based on the number of remaining weeks in the term, according to the school calendar.

Attendance Policy

Regular attendance is important for the success and progress of the group.

If a student is absent from more than three coaching sessions, the coach reserves the right to evaluate whether the student remains suitable to continue participating in the group for the following term.

Coaching Schedule Adjustments

If the regular coaching time does not work for the group during certain weeks, students and the coach will communicate to arrange an alternate coaching time. If the coach is unavailable at the scheduled time, the coach will make their best effort to arrange an alternate coaching time or find a substitute teacher to ensure continued learning progress.

Performance & Competition Participation

The coach reserves the right to determine whether a chamber group is suitably prepared to participate in chamber music concerts and competitions.

Rehearsal Booking Policy

Students may book rehearsal spaces at VAM to support their chamber music preparation.

Please note the following rehearsal booking guidelines:

• Studio booking requests must be submitted to the office at least 3 business days in advance.
• The maximum rehearsal booking time is 2 hours per week.
